A little help for a smoother day.
ProRoof Fielddesk brings jobs, crews, and material deliveries into a shared workspace. Open it on your Mac, Android phone, iPhone, iPad, or another device and sign in with the same account.
Start in four steps
- Create a workspace with your company name.
- Add crews, including a crew lead and each worker’s name.
- Schedule a job and assign a crew, address, dates, and daily hours.
- Add materials with quantities, suppliers, needed-by dates, and delivery details.
Work with another company
Create a separate shared workspace for joint work. In People & sharing, an administrator enters the invited person’s sign-in email, company, and role. Copy the app link and share it yourself. The invitee signs in using that email and accepts the invitation. Invitations expire after 14 days.
Roles that keep things clear
| ROLE | PERMISSIONS |
|---|---|
| Owner | All administrator permissions; can delete the workspace. |
| Administrator | Dispatch crews; edit jobs, crews, and materials; view and edit costs; manage people and settings. |
| Dispatcher | Dispatch existing crews; edit jobs and material logistics. Cannot access material costs or manage members. |
| Viewer | Read jobs, crews, and material logistics. Cannot access material costs or edit records. |
Install on your phone
Mac: In Safari, use File → Add to Dock where available, or bookmark the site. iPhone: In Safari, tap Share → Add to Home Screen. Android: In Chrome, open the three-dot menu and choose Add to home screen → Install (or Install app). These are web app shortcuts; this release is not yet an Apple App Store app.
Open CRM and create your workspace
Signing in and creating a company workspace are separate steps. If the workspace menu says Create your workspace, choose Set up workspace, enter your company and workspace name, then choose Create workspace. You become its owner with administrator and CRM access. CRM stays visible for every role; private lead and pricing information is available only to owners and administrators.
Dispatch and schedule rows
Dispatch lists every job in a compact row. Schedule shows the same jobs across a week. Use Expand board for a larger view and Close expanded board to return. Select a worker and Move here, or drag the worker to another job on the same date. Moves affect that day only. Info shows job creation details and the latest recorded dispatcher for each worker. Older records without those details are labeled.
Schedule alerts
Open the alerts strip above the job rows to review overlapping workers, jobs without workers, and materials needing an order or delivery confirmation. Alerts are shown in the app for the displayed dates. Open Phone notifications and choose Enable phone notifications to receive push alerts for saved job, dispatch, crew, and material changes. Enable separately on each device and workspace, then choose Send test notification. On iPhone, use the installed Home Screen app (iOS 16.4 or later). These are change alerts; timed reminders are not configured.
Move workers between jobs
Open Dispatch and choose a date. On your Mac, drag a worker card from one job to another. On any device, select a worker and choose Move here on the destination job. You can move someone to Available or use Move back to reverse the latest move. This changes the selected day only.
Your dispatch advisor
Open Dispatch advisor on the Dispatch board. It highlights overlapping worker assignments, assignments left on inactive jobs, missing addresses, and materials needing order or delivery confirmation. It suggests available workers using saved assignment history and crew specialties. Review the explanation, then Confirm move. Nothing is reassigned automatically. Each move applies to the full selected day.
Stay connected
Messages includes team chat, job conversations, direct messages between workspace members, and an owners/administrators-only channel. Keep cost discussions in the administrator channel; team and job conversations are visible to all members. Messages refresh while open. Email, SMS, and push notifications are not connected.
Report or block messages
Use Report / block below a message. Reports share that specific message with workspace administrators, including direct messages. Blocking hides the sender’s shared messages from you and stops direct messages in both directions. Manage blocks and, for administrators, reports inside Messages. Read the messaging guidelines.
Calendar and dispatch sheets
Open a job to print a dispatch sheet or download it for Apple Calendar. Calendar exports are snapshots, not live synchronization. Download again after schedule changes. Every calendar day in a job’s date range is included; create separate entries for schedule gaps or different crew assignments.
Material costs stay with administrators
Only owners and administrators receive material cost fields or cost totals. Dispatchers can change quantities, suppliers, delivery dates, notes, and order status without changing existing costs. Keep prices out of shared notes if they should remain confidential.
Profit & loss and banking
Owners and administrators can open P&L to record actual receipts and payments, compare job budgets with lifetime actuals, print reports, and export CSV. Each cost category includes a plain-language explanation and roofing examples. Company reports use cash-basis entries in USD. Estimates and material plans do not automatically become income or expenses.
In P&L → Bank connections, every workspace owner or administrator can start a secure bank link once the bank-data service is activated. Choose only business accounts, consent to sharing with workspace administrators, and review each imported transaction before posting. Transfers, loans, and owner deposits are not operating income. The app shows Bank connections coming soon until live linking is available. Sync is requested manually; available history varies by bank.
Get support
Email sales@proroofconstruction.org. Include the workspace name, what you were trying to do, and the error message. Never send passwords or authentication codes.
Open FielddeskCRM and estimates
Administrators can open CRM to search connected permit feeds, import leads, record follow-ups and prepare estimates. Choose the ProRoof website square-foot base or itemized materials and labor. Material costs use a 20% markup. Download a branded Word estimate or use Customer preview to print or save PDF. Customer documents show totals, without internal unit costs.
Permit coverage
Public feeds cover San Francisco and unincorporated Marin County. Other states and cities require a nationwide provider connection. Coverage varies; no city login is needed for connected feeds. Missing fields stay blank.
Foreman tools
Choose a job, enter measured roof sections and product-specific net coverage, then review the scope and takeoff. Complete the release checks before adding quantities to the job’s material schedule.
