ProRoof Fielddesk is a job, crew, and material planning service operated for ProRoof. This page describes the information this application uses and how its workspace controls work.
What the app stores
When you sign in, the app receives a site-specific user identifier, email address, and an optional display name. It stores company and workspace names, memberships, permissions, invitation emails, jobs, addresses, work schedules, worker names and contact information you enter, material quantities and costs, notes, daily worker assignments, and in-app message content. Record updates include an editor display name and timestamp.
Who can see information
Workspace records are available to that workspace’s accepted members. Owners and administrators manage access, crews, dispatch, jobs, and materials. Dispatchers manage jobs and materials. Viewers can read records and export the information available to them. Only owners and administrators can receive, view, or change material costs, including in exports. All other job notes and material notes are shared with workspace members; do not put confidential prices or personal information in shared notes.
Invitations are tied to a specific email and expire after 14 days. Administrators can revoke invitations and remove members. Creating an invitation does not send an email. Use a separate workspace when only a particular project should be shared with another company. Each workspace has separate records.
Messages
Team and job conversations are visible to all current workspace members. Direct messages are visible to the two participating current members, except that a participant may report a specific message to workspace owners and administrators. Reports store the message, sender and reporter display names, reason, optional details, and review status. The administrators-only channel is limited to owners and administrators. Viewers can participate in conversations but cannot edit job records. Keep costs in the administrator channel, rather than shared messages or notes. Blocked-sender preferences are tied to your user identifier across workspaces; you can remove a block in Messages. Administrators may hide reported messages from conversations; report copies are retained for review. Messages remain in the workspace until its owner deletes the workspace or an authorized data-removal request is handled; leaving a workspace does not remove past messages.
Dispatch suggestions
The dispatch advisor compares available workers with crew specialties and your workspace’s final saved daily assignments from the previous 180 days. Corrected assignments replace earlier choices. Suggestions are calculated from the workspace records already available to your role; they do not use other companies’ private workspaces, track your clicks, rate workers, or train an external AI model. They do not verify certifications or guarantee suitability. A dispatcher or administrator must review and confirm each suggested move.
Why information is used
Information is used to authenticate users, manage access, coordinate work, flag schedule conflicts, track orders, produce exports, and support the application. This application does not include advertising or third-party marketing analytics. The hosting and sign-in platforms process service requests and may maintain their own operational records under their policies.
Hosting and external links
The application uses managed hosting and account authentication services, with Cloudflare-backed storage for application records. Opening Maps or downloading a calendar file shares only the information you choose to open or import with those applications. Exported files are outside Fielddesk’s access controls after download; share them carefully.
Updating, exporting, and deleting data
Authorized users can edit and delete individual records. Records linked to other jobs or materials must be unlinked first. Export data downloads the records your role is allowed to receive. Owners can permanently delete a workspace and its active application records in People & sharing → Settings. Other members can leave a workspace. Backups or service logs maintained by the platform may have separate retention rules.
To request help removing remaining membership information or information in another company’s workspace, contact the workspace administrator or sales@proroofconstruction.org. Deleting a workspace does not delete your sign-in account.
Installed web app
You can add Fielddesk to your phone’s home screen or Mac Dock. The app stores a public offline notice on the device, but does not cache private workspace records or sign-in responses for offline use. Live records and messaging require connectivity.
Examples and connectivity
Example workspaces contain fictional records and edits are temporary. Live records require an internet connection. The app is a planning tool; it does not automatically order materials or send dispatch messages.
CRM, estimates and Foreman plans
Customer and permit leads, internal notes, supplier costs and estimates are restricted to workspace owners and administrators. Foreman scope and quantity plans are shared with workspace members; keep confidential prices out of shared scope notes. Permit searches send the selected location, date range and filters to the selected public source or connected provider. Downloaded files are stored on your device. Email buttons open your email app for review; Fielddesk does not send those emails.
Financial records and optional bank connections
Financial entries, job budgets, bank account names and masked numbers, imported transactions, and financial audit history are visible only to workspace owners and administrators. Any of those administrators can manage bank connections for that workspace after the service is activated and the account holder completes secure authorization. Selected transaction data is shared with those administrators. Bank passwords are not entered into FieldDesk. Provider access tokens are encrypted in storage and are not sent to the browser.
When enabled, optional read-only bank connections use Plaid and your bank’s authorization flow. FieldDesk sends a workspace-specific user reference to Plaid to start linking. It stores selected account metadata and transaction descriptions, amounts, dates, and review decisions. Bank imports require review before they affect the profit report; manual records and void history remain until the workspace is deleted. Disconnecting stops imports and removes unreviewed transactions but retains posted financial records and reviewed history. Disconnect banks before deleting the workspace. Voiding an entry preserves its audit history, and jobs with financial history cannot be deleted individually. The temporary bank-link token is kept in this browser’s session storage to resume authorization redirects.

Return to FielddeskOptional phone notifications
When you enable phone notifications, FieldDesk stores your browser push endpoint and encryption keys with your account and workspace. These let the browser’s push service deliver notifications for saved schedule, crew, dispatch, and material changes. Notification text contains no customer details, prices, or private messages. You can turn off notifications for a workspace from Phone notifications on each device. Delivery requires current workspace membership and your device’s permission.
